The Challenge
As UCF expanded its Academic Success Coaching model, it faced a common higher-ed challenge – how to deliver consistent, high-quality student support at scale. Coaches were meeting with many students across programs, generating lots of unstructured meeting notes scattered across systems and personal workflows, making it hard to see the full student journey.
This fragmentation slowed coaches down and risked gaps in follow-up. Much of their time went to admin tasks instead of student engagement. UCF needed a secure, scalable solution to organize insights, spot trends and improve programs, all without losing the human touch at the heart of coaching.
The Solution
